The ESP Records Secretary will be responsible for the accuracy, security, maintenance, confidentiality and integrity of physical and electronic records. The ESP Records Secretary will support the Exceptional Students Program (ESP) department and ensure compliance procedures are implemented and followed for the confidentiality of student records.
QUALIFICATIONS: Two years of college or technical diploma in Business and Office Technology or related field. Experience may substitute for education requirements on a year for year basis; Two years clerical experience in a school and/or office or related setting; Experience working with sensitive information regarding students; able to perform duties maintaining confidentiality along with professional demeanor when interacting with others; Experience in Microsoft Office and/or Google Suites; Knowledge of state and federal laws pertaining to student education records, retention schedules and the Family Education Rights Privacy Act (FERPA); Such alternatives to the above qualifications as the School Board may find appropriate. SKILLS AND ABILITIES: Excellent communication (oral and written) and organizational skills are essential; Excellent customer service skills in working with students, families, staff, administrators and the public; Ability to work independently and/or in an isolated environment; Ability to work with a high degree of accuracy. PERFORMANCE RESPONSIBILITIES: Greets and interacts effectively with staff members, teachers and administrators, parents, and the general public using tact and good judgment; Performs varied clerical and secretarial duties requiring knowledge of office routines and an understanding of the procedures related to the work of the Exceptional Students Program; Provides secretarial and clerical support for ESP department administrator(s); Answers telephone calls and greet visitors/staff to ensure persons entering the office are directed to the appropriate person(s) for assistance; Uses, develops and maintains databases and spreadsheets; Prepares and completes requests for ESP records (past and present); Faxes and/or mail requests for studentsâ€™ records to the appropriate schools/organizations; Assist in maintaining efficient office operations by providing clerical relief as needed; Attends records management workshops and conferences to remain well informed of federal and state guidelines and regulations; Maintains the retention schedule as well as procedures and regulations regarding purging and maintaining education records as outlined in the established retention schedule; Ensures compliance with the Family Education Rights Privacy Act (FERPA); Coordinate the movement, storage, retrieval and security of student education records between schools and ESP department; Maintains confidentiality of student records; Performs other duties and responsibilities as assigned by the Director of ESP.
