Administrative Assistant I - School Nutrition - Central Office

License and Certification Qualifications: None required.

Education Qualifications: High school diploma or equivalent required. Bachelor's degree in related field preferred.

Experience Qualifications: Three years in an office/clerical environment required. Experience in business administration and/or school food nutrition preferred.

Skills Qualifications: Ability to work with internal and external audiences by responding effectively and efficiently to questions and concerns; ability to assist in the planning, preparation, and execution of both small conferences and large meetings with multiple handouts and technology support; ability to project and generate a positive attitude; excellent telephone and public relations skills; ability to work independently and as a team member with minimal supervision; ability to follow verbal and written instructions quickly and accurately; ability to detect and correct errors in standard English language usage; ability to communicate with others in an effective and tactful manner; ability to represent Gwinnett County Public Schools in a positive and professional manner; strong computer skills with a working knowledge of Microsoft Office required; and knowledge of PeopleSoft preferred.

Primary Responsibilities: Provide administrative support to the Executive Director of School Nutrition and assist with functions and activities within the department.

1.          Perform general clerical and administrative duties for the School Nutrition Program Department.
a.          Perform clerical duties for the Executive Director, Director, Program Coordinators and assist remaining office staff as directed.
b.          Organize and monitor office operations and type various reports, forms, memos, and letters as assigned.
c.          Prepare work orders, item orders, and/or purchase orders of varying types from verbal and written requests.
d.          Organize and file various correspondence, reports, and forms in an accurate and orderly process.
e.          Operate and maintain, or refer for maintenance, routine office machinery including, but not limited to, computer systems, printers, and copiers.
f.            Requisition and maintain adequate office supplies.
g.          Receive and process and sort weekly/monthly folders from local schools, including but not limited to p-card statements, invoices, bank recaps, etc.

2.          Communicate in a businesslike, courteous, and efficient manner to all internal and external customers.
a.          Act as the departmental receptionist both in person and over the telephone.
b.          Establish professional reputation as businesslike, courteous, and responsive to customer needs.
c.          Screen and route incoming and outgoing written correspondence and telephone calls accurately and efficiently.
d.          Screen telephone calls and written correspondence coming into the office to facilitate a timely response and discern the need for expedient resolutions of problems and concerns.

3.           Provide exemplary customer service to both internal and external customers.
a.           Assist parents with student account balance and MyPaymentsPlus questions.
b.           Assist and provide direction to potential employees on the hiring process.
c.         Assist and provide guidance to parents with Free & Reduced application questions.

4.          Maintain calendars and schedule meetings for the school Nutrition Program Department as needed.  

5.         Maintain department master lists.                                                                                                                                                                                                                                                                                                                                                                    
a          Maintain emergency contact list.

6.         Serve as the local school benefits representative during the open enrollment process and throughout the year to assist employees with basic benefits related questions as deemed appropriate.  

7.         Review, print, and publish weekly menu signage for Caf? 437.  

8.         Cooperate with and maintain a positive relationship with other employees of the district.
a.         Act as department liaison within the Division of Operational Services.

9.         Manage fleet maintenance schedules as needed.
a.         Assist in getting vehicles back and forth to Fleet Maintenance.
b.         Coordinate with Fleet Maintenance on any repair issues.

10.       Coordinate interview scheduling of new applicants considered for vacant positions.
a.         Track interviews conducted by SNP Leadership and create reports as requested.
b.         Organize and file all interview documentation and materials.

11.       Assist with staff modifications by initiating transactions.
a.         Work closely with central office divisions including the Division of Business and Finance and the Division of Human Resources in resolving employment eligibility, employee clearance, benefits, and compensation inquires and issues.
b.         Communicate general employment information to newly hired employees as requested.  

12.       Serve as a liaison with the Risk Management Department concerning employee accidents and return to work dates as needed.
a.         Complete risk management forms and submit to the Risk Management Department in a timely manner.

13.       Perform other duties as assigned.        

Physical Demands:
While performing the duties of this job, the employee is frequently required to sit for extended periods of time. The employee is also required to talk, hear, stand, and walk. The employee may be required to use hands to finger, handle, feel, and/or reach. The employee is occasionally required to stoop, kneel, or crouch. The employee must occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, depth perception, and ability to adjust focus.
