License and Certification Qualifications: None required.
Education Qualifications: High school diploma or equivalent required. Bachelor's degree in related field preferred.
Experience Qualifications: Ten years secretarial/administrative or equivalent acceptable experience required.
Skills Qualifications: Accurate typist with minimum 60 WPM typing skills; ability to follow oral and written instructions quickly and accurately; knowledge of PeopleSoft and BoardDocs (eAgenda) software; ability to type accurately and quickly; ability to record and issue minutes of meetings by shorthand and/or computer; ability to manage several large projects at any given time; ability to detect and correct errors in standard English language usage; excellent telephone and public relations skills; and knowledge of state and local governmental operations.
Primary Responsibilities: Coordinate all activities and duties specific to ensuring the highest level of effectiveness in all matters of support related to the governance of the district by the Gwinnett County Board of Education and CEO/Superintendent team.
1. Coordinate the functions associated with executing Gwinnett County Board of Education meetings, including all official communication pieces and correspondence. a. Prepare official agendas for Monthly Business Meetings of the Board of Education using eAgenda and ensure all agendas are accurate and complete. b. Prepare hard copies of agendas for special called meetings as directed by the CEO/Superintendent or Chief of Staff. c. Provide guidance and support in the use of eAgenda to new submitters of Board meeting items. d. Prepare all necessary materials for the Board Chairman, Board members, and CEO/Superintendent that are associated with the effective execution of each meeting’s agenda. e. Comply with applicable laws and policies dictating the posting and news media notification of all meetings of the Board, both regular and special called meetings. f. Attend all meetings of the Board and record all action taken for the official minutes, which may require being available for meetings during off-work hours in the early morning, in the evening, and on weekends as necessary. g. Ensure all necessary Board-related documents are signed, notarized, and maintained as the official record of Board action. h. Prepare official minutes for every Board meeting and maintain files of all minutes to comply with legal requirements of meetings of public officials. i. Collaborate effectively with the Board's attorney and the district's Office of Student Discipline in the preparation of materials related to Executive Sessions of the Board and the confidential handling of such materials and information. j. Coordinate the delivery of executive session materials to Board members’ homes in advance of Monthly Business Meetings. k. Coordinate the production of Board recognition certificates for Monthly Business Meetings. l. Monitor the MySchoolBoard e-mail inbox and route e-mails to Board members and/or staff as appropriate in a timely fashion, in collaboration with the Executive Administrative Assistant or Chief of Staff. m. Handle other Board-related tasks as assigned by the CEO/Superintendent or Chief of Staff.
2. Perform general clerical duties to support the Board of Education and Office of the CEO/Superintendent. a. Prepare correspondence for Board of Education members to send in their official capacities as Board members. b. Serve as first-level back up to the CEO/Superintendent’s Executive Administrative Assistant, providing coverage of the office in the absence of the Executive Administrative Assistant during times of leave and at lunch time. c. Organize and prepare letters, reports, memoranda, e-mails, and other documents as needed or directed by the CEO/Superintendent or Chief of Staff. d. Register Board members and the CEO/Superintendent for various local, state, and national meetings and complete all necessary travel arrangements. e. Handle any paperwork related to Board members’ official duties. f. Requisition supplies and equipment for Board members or the CEO/Superintendent as needed.
3. Communicate with Board members and all internal and external audiences in a businesslike, courteous, and efficient manner. a. Ensure that correspondence and other documentation emanating from the office conforms to standard English usage, is free of typographical errors, and contains accurate information. b. Maintain decorum, professionalism, and poise in all telecommunication or in-person interactions with Board constituents and school district employees.
4. Perform other duties as assigned.
Physical Demands: While performing the duties of this job, the employee is frequently required to sit for extended periods of time. Employee is also required to talk, hear, stand, and walk. The employee may be required to use hands to finger, handle, feel, and/or reach. Employee is occasionally required to stoop, kneel, or crouch. The employee must occasionally lift and/or move up to 25 pounds.
