JOB QUALIFICATIONS

Licenses/Certifications: None Required

Education: High school diploma or equivalent required. Bachelor's degree in related field preferred.

Skills: Demonstrated skills in oral and written communication; demonstrated skills in organization and problem solving, with the ability to exercise independent judgment, troubleshoot, and solve basic problems; ability to detect and correct errors in standard English language usage; competent technology skills in word processing, graphics, spreadsheets, and experience using the Microsoft Office Suite and Lotus Notes; experience in the use of PeopleSoft; ability to prepare reports, draft professional business correspondence, and process transactions as directed; ability to respond to inquiries and requests from internal and external customers; ability to act as a representative of Gwinnett County Public Schools; ability to effectively perform multiple tasks; and ability to work across functional boundaries and interact with employees at all levels of the organization.
Work Experience Three years secretarial/administrative or equivalent acceptable experience required.

PRIMARY RESPONSIBILITY:Provide administrative support to the Executive Director of Human Resources Staffing and assist with associated functions and activities within the department.

JOB DUTIES:
1. Assist the Executive Director of Human Resources to ensure successful departmental operations.
a. Align administrative priorities with those of supervisor.
b. Maintain an accurate schedule of supervisor’s meetings/appointments.
c. Arrange, coordinate, and schedule time and details for travel, conferences, and other planned events within the department.
d. Arrange meeting details, develop minutes, and prepare correspondence in a timely fashion.
e. Receive and route incoming and outgoing correspondence and communication for supervisor.

2.. Manage concurrent tasks effectively and ensure that priorities are completed by the deadline.
a. Develop spreadsheets, graphs, charts, and presentation documents and integrate data from multiple source documents.
b. Assist with departmental budgets and reports as requested.
c. Handle routine matters while supervisor is out of the office and delegate matters appropriately.
d. Coordinate the completion of department tasks, working with HR Staffing leadership team.
e. Manage Extended Leave and Staff Displacement process in accordance with HR Processes timeline.
f. Manage Key Performance Indicators (KPI's) for Human Resources and Talent Management.

3. Provide support to the department by identifying, developing, and streamlining areas for process improvement and service delivery.
a. Conduct appropriate research and collaborate with staff to design, develop, implement, and evaluate new initiatives.
b. Assist in preparation and facilitation of meetings and events.

4. Assist with coordinating the regular review and updating of business processes for HR Staffing.
a. Facilitate the review of departmental business processes on an annual basis.
b. Schedule meetings for process review and prepare/distribute materials as needed.
c. Work with Human Resources Staffing leadership team to make changes/updates to business process documentation.
d. Manage and maintain information on all non-renewal recommendations; prepare letters as required.
e. Prepare and disseminate internal investigation tracking report to HR Directors on a weekly basis.

5. Assist with the compilation of articles for the monthly editions of Principal Matters as it pertains to the Department of Human Resources Staffing

6. Manage the Person of Interest and Contingent Worker process; enter and update information in PeopleSoft as required.

7. Monitor and update published information related to Human Resources Staffing.
a. Ensure all content on the GCPS website and portal is accurate and adheres to the district's communication and style guidelines.
b. Assists with the functions associated with maintaining and revising the HR Handbook Database in Lotus Notes.
c. Work with team members to ensure content is revised in a timely manner.

8. Communicate with all parties in a businesslike, courteous, and efficient manner.
a. Represent the division professionally in all aspects of communication.
b. Help cultivate a responsive and customer-focused climate.

9. Assist with new projects as assigned.

10. Perform other duties as assigned.

PHYSICAL DEMANDS

While performing the duties of this job, the employee is frequently required to sit for extended periods of time. The employee is also required to talk, hear, stand, and walk. The employee may be required to use hands to touch, handle, feel, and/or reach. The employee is occasionally required to stoop, kneel, or crouch. The employee must occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, depth perception, and ability to adjust focus.
