License and Certification Qualifications: None required.

Education Qualifications: High school diploma or equivalent required.

Experience Qualifications: Two years secretarial/administrative or equivalent acceptable experience required.

Skills Qualifications: Ability to communicate with others in an effective and tactful manner; strong organizational skills; ability to follow oral and written instructions quickly and accurately; proficient computer skills in word processors, spreadsheets, and presentation programs; knowledge and experience with computerized maintenance management systems, budgets, accounting, payroll, and purchasing; and ability to act as a representative of Gwinnett County Public Schools.

Primary Responsibilities: Responsible for assisting with all office functions in the Department of Building Maintenance and providing customer service and communication to schools, support facilities, and contractor/supplier contacts.

1. Perform district dispatcher duties for the Department of Building Maintenance.
a. Assist district Facilities and Operations Area Manager, District Maintenance Foreman, Energy Control Technician, and Inventory Specialist with daily work operation of the district building maintenance facility.
b. Respond to telephone calls, computer maintenance requests, and e-mails from school work order requests and receive, prioritize, and process work order requests in a timely manner.
c. Conduct initial assessment of an emergency or non-emergency situation and determine the degree of danger, damage, urgency, and inconvenience involved or service needs.
d. Dispatch appropriate personnel and equipment to work sites as necessary or as directed, based on factors of safety, urgency, work schedules, and proximity of available crew to site location.
e. Serve as the liaison to receive and relay radio and telephone transmissions from field personnel to appropriate staff and supervisors.
f. Monitor and record the location of work crews in the field and maintain a daily log of maintenance requests and dispatched orders.
g. Notify fleet services personnel of equipment problems and arrange for the transport of equipment to the fleet maintenance facility.
h. Maintain constant contact with all district craftsmen in order to efficiently dispatch them to the appropriate location.
i. Organize district building maintenance training classes, contractor meetings, and service call technology meetings.

2. Perform computerized Maintenance Management System (MAXIMO) duties.
a. Receive work requests via the computer or telephone.
b. Convert work requests from customers into a work order, assigning the appropriate trade and craftsman, or coordinating with the foreman, to assign a substitute craftsman.
c. Create work orders for contract engineering projects to be performed with funding from capital sources.
d. Create, edit, and retire district assets management system and set up preventative maintenance job plans.

3. Perform general clerical duties.
a. Maintain an accurate schedule of activities and ensure the district manager is informed of the schedule, including the posting of leave used by district employees.
b. Develop and maintain the district filing system.
c. Operate and maintain, or refer for maintenance, routine office machinery including, but not limited to, calculators, computer systems, fax machines, printers, and copiers for the efficient operation of the district.
d. Organize and maintain all district personnel records and files including, but not limited to, sick leave, vacation, leave of absence, and payroll.
e. Prepare reports, work orders, contract payment release orders, purchase orders, bid packages, and memos as needed to maintain the efficient operation of the district according to standard operating procedures. f. Receive, direct, and assist visitors.
g. Organize and maintain school files, vendor files, and reference materials.
h. Monitor and maintain adequate inventory of office supplies, forms, and other materials.
i. Initiate the ordering process as necessary to ensure efficient operation of the district office.

4. Perform general financial and accounting duties.
a. Maintain various spreadsheets to track, monitor, and analyze budgets and various other Key Performance Indicators (KPIs).
b. Process time cards, input payroll information on the student and financial host mainframe system, and input financial information to completed work orders in MAXIMO.
c. Process payments to contractors for work performed including check requests and MAXIMO service purchase orders.

5. Communicate with other individuals in a businesslike, courteous, and efficient manner.
a. Serve as the district receptionist both in person and over the telephone.
b. Utilize telecommunication equipment courteously for the efficient operation of the district.
c. Route incoming and outgoing correspondence accurately.

6. Organize the operation of the district office.
a. Monitor work orders and any other correspondence produced by the maintenance craftsmen to ensure accuracy, timeliness, and conformity to system standards.
b. Ensure that correspondence and other documentation sent from the office conforms to standard English usage.

7. Cooperate with and maintain a positive relationship with all other school system employees.

8. Perform other duties as assigned.

Physical Demands:
While performing the duties of this job, the employee is frequently required to sit for extended periods of time. Employee is also required to talk, hear, stand, and walk. The employee may be required to use hands to touch, handle, feel, and/or reach. Employee is occasionally required to stoop, kneel, or crouch. The employee must occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, depth perception, and ability to adjust focus.
