Education Qualifications: High school diploma or equivalent required.

Experience Qualifications: Two years of related clerical experience required.

Skills Qualifications: Excellent communication skills; both written and oral to effectively communicate with all employees. Professional telephone skills. Computer skills with proficiency in use of Microsoft Office and other computer programs. Ability to follow oral and written instructions quickly and accurately. The ability to detect and correct errors in standard English language usage and possess strong organizational skills. Experience handling the scheduling of conference calls and meetings, including travel arrangements. Possess problem-solving and analytical skills, and the abiltiy to handle multiple tasks.

Primary Responsibilities: Provide administrative support and assist with the daily operations of the J. Alvin Wilbanks Instructional Support Center facility; helping to ensure business functions are conducted with minimal interruption.

1. Provide administrative support and assist with the daily operations of the Instructional Support Center’s Facility Department, helping to ensure business functions are conducted with minimal interruption and in a positive and professional manner.
a. Perform general administrative duties for the Facility Manager – Instructional Support Center, ISC Head and Assistant Head Custodians, ISC Mailroom Clerk, and ISC Security Monitors. b. Assist internal customers with maintenance and building operation needs in a customer-oriented and expedient fashion, providing a high level of customer service.
c. Compose and distribute correspondence, invitations, certificates, contact lists, schedules, agendas, training aids, and other documents that assist department personnel in carrying out their assigned responsibilities.
d. Organize and maintain files including, but not limited to, office correspondence, inventory, invoices, purchase orders, bids, Request for Proposal (RFPs), budget information, contracts, maintenance and repair, vendors, contractors, environmental waste removal, compactor and dumpster, recycling, custodial, mailroom, security, insurance certificates, and other related documents.
e. Act as the ISC Room Reservation Approver and Meeting Room Set-up Coordinator: Approve meeting room reservation requests and coordinate the setups for 19 meeting rooms on a daily basis.

2. Operate, categorize, and request routine maintenance of assigned or designated departmental office equipment, including but not limited to copiers, printers, scanners, computers, fax machines, cameras, and calculators.

3. Maintain the department’s annual training log to document staff development hours received toward the annual staff development requirements per employee.
a. Assist department staff participating in training seminars or conferences by arranging and paying for travel and/or lodging, managing deposits and fees, and facilitating the completion and submission of reimbursement documents for related expenses paid out-of-pocket by staff members.

4. Assist Facility Manager – Instructional Support Center with the scheduling and upkeep of the Campus’ Life Safety equipment and environmental waste removal.

5. Perform general financial/accounting duties for the ISC Facility Department.
a. Assist the Facility Manager – Instructional Support Center with preparing and executing the departmental budget; as well as preparing reports and coordinating postal back charges for schools and support centers.
b. Assist with the procurement of building, office, and custodial supplies for the ISC Facility Department via P-Card, Purchase Order, or invoicing.
c. Process Facility Services related invoices for payment through the PeopleSoft Accounts Payable program.
d. Maintain financial reports, accounting sheets, and other financial, accounting, and inventory records accurately and timely as assigned.
e. Prepare and submit purchase orders (in accordance with GCPS approved procedures) to the EOAP office and Purchasing and Property Management Department.
f. Maintain files of open and closed Purchase Orders.
g. Assist Custodial Management and Mailroom staff with the department’s Asset Management (files and records) of its consumables and custodial and building equipment inventory and net worth.
h. Responsible for coding P-Card (Purchase Card) and Travel Card transactions.
i. Maintain vendor lists of approved vendors and ensure vendors W2 information is up to date and filed with the GCPS Business and Finance Division.
j. Supply any applicable accounting documentation requested for annual reports and auditing purposes.

6. Acts as the Central Office’s liaison to the Risk Management Department: Reports and input Campus injuries (Workman’s Compensation), thefts and property damages to the Risk Management Department.

7. Act as the ISC Facility Department’s LSBR (Location Site Benefits Representative).

Physical Demands:
While performing the duties of this job, the employee is frequently required to sit for extended periods of time. Employee is also required to talk, hear, stand, and walk. The employee may be required to use hands to touch, handle, feel, and/or reach. Employee is occasionally required to stoop, kneel, or crouch. The employee must occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, depth perception, and ability to adjust focus.
