License and Certification Qualifications: None required.

Education Qualifications: High school diploma or equivalent required. Bachelor's degree in related field preferred.

Experience Qualifications: Three years in an office/clerical environment required. Experience in a school system preferred.

Skills Qualifications: Ability to communicate with others in an effective and tactful manner; ability to communicate courteously with other district employees, parents, and the public; excellent skills in organization and time management; ability to manage multiple priorities; ability to work as an effective team member; ability to represent Gwinnett County Public Schools (GCPS) in a positive and professional manner; and strong computer skills with a working knowledge of Microsoft Office programs.

Primary Responsibilities: Assist in the organization and coordination of all activities and functions in the Community-Based Mentoring Program.

1. Perform general administrative and clerical professional duties.
a. Organize and monitor office operations.
b. Organize and manage distribution of printed materials related to the Community-Based Mentoring Program.
c. Utilize the program's calendar to lead in the planning of program events. This may include transporting materials to off-site locations.
d. Create, maintain, and monitor inventory of supplies for the program.
e. Communicate consistently with all stakeholders to ensure positive relationships.
f Serve as liaison to facilitate timely communication between the office staff and internal stakeholders.
i. Complete travel arrangements and process travel requests and vouchers.
j. Process routine forms including purchase orders, check requests, and other related forms.

2. Assist with the organization and coordination of mentor training, mentoring events, and fundraising events.

3. Perform budgetary duties as assigned.
a. Monitor the office budgets.
b. Prepare, monitor, and maintain the budgets and related tasks for the Community-Based Mentoring Program.
c. Monitor and review purchase card charges and purchase orders on a consistent basis.

4. Promote and maintain positive relationships with all stakeholders.
a. Make phone calls to parents and mentors on a regular basis.
b. Compile, create, and maintain program updates to create quarterly newsletters to share with local schools and stakeholders.

5. Provide world-class customer service to all stakeholders.

6. Perform other duties as assigned.

Physical Demands:
While performing the duties of this job, the employee is frequently required to sit for extended periods of time. Employee is also required to talk, hear, stand, and walk. The employee may be required to use hands to finger, handle, feel, and/or reach. Employee is occasionally required to stoop, kneel, or crouch. The employee must occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, depth perception, and ability to adjust focus.
