License and Certification Qualifications: None required.

Education Qualifications: High school diploma or equivalent required. Bachelor's degree in related field preferred.

Experience Qualifications: Three years in an office/clerical environment required. Experience in a school environment preferred.

Skills Qualifications: Ability to communicate with others in an effective and tactful manner; ability to exercise independent judgment, troubleshoot, and solve problems; ability to follow oral and written instructions quickly and accurately; ability to work well with school personnel; proficient in office productivity software; ability to learn new software applications;strong editing, formatting, graphics, and proofreading skills; ability to work as part of a team; flexibility and adaptability to change; and ability to represent Gwinnett County Public Schools in a positive and professional manner.

Primary Responsibilities: Assist in the organization and coordination of all aspects of the Media Services and Technology Training Department through providing support to the Director and Coordinators in the department.

1. Provide administrative support for the Director and Coordinators in Media Services & Technology Training.
a. Assist Director and Coordinators with database, spreadsheet, word processing documents, and e-mail communication.
b. Manage local and overnight travel including creating requests, making travel arrangements, completing conference registrations, and entering expenses.
c. Maintain calendars, schedule meetings and appointments as directed.
d. Submit service requests and tickets on behalf of department leaders.
e. Facilitate effective meetings through preparation of rosters, scheduling rooms, organizing resources needed for the meeting, taking minutes and associated cleanup.
f. Deliver edited minutes to department leaders in a timely fashion.

2. Perform clerical duties for the Media Services and Technology Training Department.
a. Maintain local school tech team personnel information including directories, new media specialist and new media clerk lists, email groups, shared calendar invites.
b. Manage the onboarding process including communications to new local school tech team personnel and department personnel with essential information for training, resources, and important contact information.
c. Manage attendance documentation for Local School Technology Coordinator and Media Specialist meetings, including printing rosters and entering information in PD&E.
d. Organize and maintain digital files including, office correspondence, confidential documents, and historical information for the district's media and technology programs.
e. Operate various office machines including, but not limited to, copiers, poster maker, fax machines, scanners, and other equipment as needed to ensure the efficient and effective operation of the office.
f. Maintain inventory of office supplies and place orders as needed.
g. Work cooperatively with staff members in Media Services and Technology Training to ensure school media centers and technology programs receive continued support.

3. Perform receptionist duties for the Media Services and Technology Training Department.
a. Answer department telephone and answer questions or direct calls as needed.
b. Greet and assist visitors to the Media Services and Technology Training Department.
c. Respond to inquiries and provide support for users at the local school.

4. Communicate with all parties in a businesslike, courteous, and efficient manner.
a. Represent the division professionally in all aspects of communication.
b. Help cultivate a responsive and customer-centered climate.
c. Cooperate with and maintain a positive relationship with other employees of the district and division to which assigned.
d. Maintain familiarity and a general working knowledge of departmental functions and responsibilities.

5. Perform other duties as assigned.

Physical Demands:
While performing the duties of this job, the employee is frequently required to sit for extended periods of time. The employee is also required to talk, hear, stand, and walk. The employee may be required to use hands to touch, handle, feel, and/or reach. The employee is occasionally required to stoop, kneel, or crouch. The employee must occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, depth perception, and ability to adjust focus.
