License and Certification Qualifications: None required.

Education Qualifications: High school diploma or equivalent required. Bachelor's degree in related field preferred.

Experience Qualifications: Minimum of three years secretarial/administrative or equivalent related experience required. Accounting and budgeting experience strongly preferred.

Skills Qualifications: Excellent skills in oral and written communication; excellent skills in organization and problem solving, with the ability to exercise independent judgment, troubleshoot, and solve basic problems; strong knowledge and excellent skills with computer software, particularly Microsoft Office (Excel, PowerPoint, and OneNote) and Google Suite; ability to prepare reports, draft professional business correspondence, and process transactions as directed; ability to respond to inquiries and requests from internal and external customers; ability to record, prepare, and present minutes of meetings; excellent mathematics and accounting skills; ability to analyze existing processes and identify areas for improvement; ability to act as a representative of Gwinnett County Public Schools; and ability to work across functional boundaries with strong interpersonal skills to interact with employees at all levels of the organization.

Primary Responsibilities: Provide administrative support to the Executive Director of Federal & Special Programs and assist with functions and activities within the department.

1. Perform department administrative duties.
a. Take and transcribe dictation of various types including, but not limited to, letters, memos, reports, and minutes of meetings.
b. Maintain an accurate schedule of activities for the Executive Director of Federal & Special Programs.
c. Arrange, coordinate, and schedule time and details for travel, conferences, and other meetings within the departments.
d. Prepare various minutes, reports, work orders, memoranda, and purchase orders as needed to maintain the efficient and effective operation of the office to which assigned.

2. Perform general clerical duties.
a. Maintain an effective and efficiently run office.
b. Apply software and technology appropriately to produce quality documents and materials.
c. Organize and maintain the files and records of the departments efficiently.
d. Operate various office machines including, but not limited to, computers, copiers, fax machines, projectors, scanners, and calculators as needed to ensure the efficient and effective operation of the office to which assigned.
e. Organize work area and work in progress in an efficient and orderly manner.
f. Monitor materials produced to ensure accuracy, timeliness, and conformity to division and department standards.
g. Organize and maintain the department office software and reference materials efficiently.

3. Communicate with all parties in a professional and efficient manner.
a. Represent the division professionally in all aspects of communication.
b. Help cultivate a professional, responsive, and customer-centered climate.
c. Respond to internal and external customers timely and effectively.
d. Direct inquires to the appropriate division personnel as needed.
e. Route incoming and outgoing correspondence accurately.

4. Perform all other duties as assigned.

Physical Demands:
While performing the duties of this job, the employee is frequently required to sit for extended periods of time. The employee is also required to talk, hear, stand, and walk. The employee may be required to use hands to touch, handle, feel, and/or reach. The employee is occasionally required to stoop, kneel, or crouch. The employee must occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, depth perception, and ability to adjust focus.
