POSITION: Procurement Specialist

LOCATION: Logistical Services


The Dougherty County School System is seeking a Procurement Specialist to work in the Logistical Services Department. This individual will assess requisitions, manage contracts, and solicit quotations to ensure the district receives the best value. This individual will also be responsible for placing inventory orders, tracking orders and resolving non-conformance issues and price disputes.

QUALIFICATIONS: Associate degree in Business Administration or related field preferred; Two years or more of purchasing experience preferred; Excellent math skills; Ability to proficiently multi-task; Working knowledge of Microsoft Access, Excel, Outlook, Word, and Google Drive; Mature individual with initiative, good telephone and communications skills; Excellent organizational and customer service skills; Excellent written and verbal communication skills; Ability to establish and maintain effective working relationships with DCSS staff and vendors; Knowledge of purchasing methods and of the techniques of specification writing; Such alternatives to the above qualifications as the Board may find appropriate. SKILLS AND ABILITIES: Excellent customer service skills; Excellent computer skills; Excellent communication and organization skills; Ability to collect, sort, prepare and scan documents, and label them for easy identification; Ability to ensure that all records are properly updated, and maintained in an accurate and confidential manner. PERFORMANCE RESPONSIBILITIES: Receive, examines, and processes purchase requisitions; Prepare bid specifications and other necessary documents related to the purchase of supplies, materials, and equipment; Prepare requisitions for state contract items or locates source of supply, and places orders with appropriate vendor; Compare costs and evaluates quality and suitability of supplies, materials and equipment; Create purchase orders from requisitions; Assist new vendors with applications and maintains vendor records; Confer with vendors to obtain product or service information such as price, availability, and delivery schedule; Data entry and filing paperwork; Obtain price quotes from multiple suppliers; Prepare purchase orders or bid requests; Responsible for the posting and updating of bid information and related documents on DCSS website and Georgia Procurement Registry; Issue purchase orders to suppliers and confirm delivery date, quantity ordered and the correct price; Maintain procurement records such as items or services purchased, costs, delivery, product quality or performance and inventories; Order goods such as office and custodial supplies on a continuing basis in order to maintain certain inventory levels; Coordinate delivery time of supplies. Enter data concerning inventory and order amounts into computer database; Ensure inventory is maintained in accordance to school policies; Keep records and create reports regarding supply costs; Administer annual vendor performance evaluation; Perform other tasks as assigned by the director.
REPORTS TO: Assistant Director of Logistical Services

SALARY RANGE: 240-Day annual contract. Competitive salary and excellent benefits package, in accordance with the DCSS Compensation Guide.
