License and Certification Qualifications: None required.

Education Qualifications: High school diploma or equivalent required. Bachelor's degree in related field preferred.

Experience Qualifications: Three years experience in accounting and/or administrative office experience required.

Skills Qualifications: Ability to keep detailed and accurate records; excellent skills in oral and written communication; customer service oriented to internal and external customers; must possess skills to use an automated computer system designed to purchase and track school district acquisitions; ability to effectively analyze information and data, identify trends, and determine actions to be taken; ability to make mathematical calculations and complete computer data entry with speed and accuracy; ability to prepare spreadsheets and reports; knowledge of modern office practices and procedures; ability to have effective and tactful public relations; and personal computer skills with a working knowledge of Microsoft Office applications.

Primary Responsibilities: Responsible for overseeing the Media Services and Technology Training Department budget and acquisitions and school media center procurement of books, online resources, and equipment.

1. Assist with purchasing functions for the Department of Media Services and Technology Training.
a. Initiate acquisitions for department and school purchases.
b. Review monthly purchasing card statements and corresponding documentation for school media programs.
c. Maintain budgets for Media Services and Technology Training Department.
d. Research and follow up on purchase discrepancies for the department and verify vendor charges for processing resources and discounts for schools.
e. Prepare and manage requisitions of books and audiovisual resources for new school media centers and department.
f. Resolve discrepancies in purchase orders and invoices for school media center resources.
g. Implement purchasing processes for school media funds purchases, including the development of accompanying documentation.


2. Assist with procurement customer support.
a. Field questions from schools pertaining to policies, procedures, and processes used in procurement of media center resources.
b. Train school media center staff on the PeopleSoft system and purchasing card processes unique to media center purchases.
c. Serve as the liaison between the Purchasing and Property Management Department and schools regarding PeopleSoft and purchasing card purchases for the media center.


3. Perform general financial and accounting duties for the department.
a. Maintain miscellaneous payroll and payroll authorizations for substitute budget accounts.
b. Initiate leave accounting for the department.
c. Calculate and prepare reports on a regular basis for the Financial Operations and Purchasing and Property Management Departments.
d. Reconcile invoices, purchase orders, and items received as materials arrive in media services for processing.


4. Perform other duties as assigned.

Physical Demands:
While performing the duties of this job, the employee is frequently required to sit for extended periods of time. Employee is also required to talk, hear, stand, and walk. The employee may be required to use hands to finger, handle, feel, and/or reach. Employee is occasionally required to stoop, kneel, or crouch. The employee must occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, depth perception, and ability to adjust focus.
