License and Certification Qualifications: None required.

Education Qualifications: High school diploma or equivalent required. Bachelor's degree in related field preferred.

Experience Qualifications: Three years in an office/clerical environment required. Experience in a school system preferred.

Skills Qualifications: Ability to communicate with others in an effective and tactful manner; ability to communicate courteously with other district employees, parents, and the public; excellent skills in organization and time management; ability to manage multiple priorities; ability to work as an effective team member; ability to represent Gwinnett County Public Schools (GCPS) in a positive and professional manner; and strong computer skills with a working knowledge of Microsoft Office programs.

Primary Responsibilities: Assist in the organization and coordination of all activities and functions for the Athletics, Student Activities, and Community Schools Department.

1. Perform general administrative office professional duties.
a. Organize and monitor departmental operations.
b. Maintain current databases on a variety of programs related to the department.
c. Organize and manage the quarterly distribution of printed materials related to community schools.
d. Order materials, prepare announcements, gather applications, and maintain files for the department.
e. Assist with preparing, monitoring, and maintaining the budgets related to all aspects of the department.
f. Compose correspondence and ensure that the correspondence and other documentation sent from the department is accurate and that it conforms to standard English usage and to the GCPS prescribed style.
g. Screen items sent to the department to facilitate timely resolution of problems and concerns.
h. Initiate and maintain ledgers as assigned.
i. Complete overnight travel arrangements and process overnight travel vouchers.
j. Process all routine forms including purchase orders, check requests, and other related forms.

2. Assist with the organization and coordination of projects for student activities, athletics, and community schools programs.

3. Perform budgetary duties as assigned.
a. Monitor the departmental budgets.
b. Process the monthly purchase card charges and send to the Business and Finance Division.
c. Transcribe budget amendments as requested.

4. Promote and maintain positive interpersonal relationships.
a. Cooperate with and maintain positive relationships with other employees of the departments to which assigned.
b. Cooperate with and maintain positive relationships with other school system employees and with external audiences.

5. Provide world-class customer service regarding student activities, athletics, and community schools program inquiries.

6. Perform other duties as assigned.

Physical Demands:
While performing the duties of this job, the employee is frequently required to sit for extended periods of time. The employee is also required to talk, hear, stand, and walk. The employee may be required to use hands to finger, handle, feel, and/or reach. The employee is occasionally required to stoop, kneel, or crouch. The employee must occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, depth perception, and ability to adjust focus.
