License and Certification Qualifications: None required.

Education Qualifications: High school diploma or equivalent required. Bachelor's degree in related field preferred.

Experience Qualifications: Three years in an office/clerical environment required. Experience in a school system preferred.

Skills Qualifications: Demonstrated skills in oral and written communication; demonstrated skills in organization and problem solving, with the ability to exercise independent judgment, troubleshoot, and solve basic problems; demonstrated knowledge and skills with computer software, particularly Microsoft Office Suite including Excel and Word, Outlook, and Teams, Lotus Notes,PeopleSoft, and online platforms for messaging and video conferencing; ability to prepare reports, draft professional business correspondence, and process transactions as directed; ability to respond to inquiries and requests from internal and external customers; ability to record and issue minutes of meetings; ability to act as a representative of Gwinnett County Public Schools; and ability to work across functional boundaries and interact with employees at all levels of the organization.

Primary Responsibilities: Support the effective and efficient operation of all office administration for the Department of Federal & Special Programs

1. Support FederalProgram staff
a. Organize and monitor the office daily operationsof the department.
b. Compose correspondence for the director(s) as requested.
c. Ensure that correspondence and other documentationsent from the office is accurate and that it conforms to standard Englishusage and to the prescribed form and style for the district.
d. Route written and verbal communications to theappropriate staff members.
e. Assist in arranging in-person or digital appointmentsand meetings directors and the department.
f. Forward all complaints submitted byexternal stakeholders coming to the office to the appropriate staff memberto facilitate a timely resolution of the problems and concerns.
g. Write correspondence, agendas, and minutes andmaintain electronic files on district servers.
h. Complete and process overnight travel request forms,and arrange travel plans for department personnel.
i. Organize and maintain program reference materials.

2. Assist with the coordination of projects for thedepartment.

3. Assist with budgetary duties, including audition andmonitoring, for the department..
a. Assist with the local travel account.
b. Assist with the conference travel account.
c. Assist with the registration/dues account
d. Assist with the printing account.
e. Assist with the neglected/delinquent institutions accounts.
f. Assist with miscellaneous payroll.
g. Assist with equitable services accounts.
h. Purchase goods/services using a purchase card or Peoplesoftand maintain appropriate documentation.

4. Promote and maintain positive interpersonal relationships.
a. Cooperate with and maintain positive relationshipswith department personnel.
b. Cooperate with and maintain positive relationshipswith other school system employees and with external audiences.

5. Perform other duties as assigned.

Physical Demands:
While performing the duties of this job, the employee is frequently required to sit for extended periods of time. The employee is also required to talk, hear, stand, and walk. The employee may be required to use hands to finger, handle, feel, and/or reach. The employee is occasionally required to stoop, kneel, or crouch. The employee must occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, depth perception, and ability to adjust focus.
